Two numbers decide the invoice

Carriers care about two constraints: how heavy a parcel is, and how much space it occupies on a truck or aircraft. Actual (scale) weight is what a calibrated scale reads in kilograms or pounds. Dimensional weight—also called volumetric weight—is a billing weight computed from the package’s outer dimensions using the carrier’s divisor formula.

You almost always pay on the greater of actual weight and dimensional weight. A box of pillows can be light on the scale and expensive on the invoice because volume weight wins. A small dense part can be heavy and tiny—actual weight wins. Unit conversion mistakes on either side change which number wins.

Before you convert anything, write down three facts: outer length, width, and height (with units), scale weight (with units), and the carrier’s dimensional divisor and rounding rules from the rate card you are using today—not a blog post from five years ago.

Measuring the box before you convert

Use outer dimensions, including bulges and protruding handles. Soft packs are measured as the rectangular envelope they occupy. Convert all three sides into one length unit before multiplying. Mixing centimetres and inches in the same product is a classic quote killer.

Volume for shipping math is usually the rectangular product L × W × H, not the true geometric volume of an irregular shape. Carriers bill the rectangular cuboid. Convert that cuboid into the unit the divisor expects (often cm³ or in³), then apply the formula.

If your warehouse stores dimensions in millimetres and the carrier wants centimetres, divide each side by 10 before multiplying—or convert after computing mm³ into cm³ carefully. Keep a single spreadsheet column unit and validate with a known sample box.

Actual weight: kilograms and pounds

International carriers usually quote chargeable weight in kilograms. US domestic services often speak in pounds. Convert scale readings with the exact pound–kilogram relationship before comparing to dimensional weight. Comparing 10 lb to a dimensional weight of 5 kg without converting is meaningless.

Tare the scale (subtract pallet or container weight) when the rate applies to net shipment weight. For multi-piece shipments, know whether the carrier sums chargeable weights per piece or allows shipment-level aggregation—those rules change optimization tactics.

Metric tonnes appear on freight, not parcels. One metric tonne is 1,000 kg (about 2,204.62 lb). Do not confuse it with a US ton (short ton) or UK long ton when reading ocean quotes.

Dimensional weight formulas in practice

A typical pattern is: dimensional weight = (L × W × H) / divisor, with L, W, H in centimetres or inches and the result in kilograms or pounds matching the divisor’s definition. Divisors differ by air vs ground and by carrier. Always use the divisor printed for your service level.

Rounding rules matter as much as the divisor. Some carriers round each dimension up to the next centimetre; others round the final chargeable weight up to the next half kilogram. Convert units first, then apply rounding in the order the tariff states.

Volumetric litres and cubic metres help warehouse planning (1 m³ = 1,000 L) but do not replace the carrier’s dimensional-weight formula. Use volume converters for storage and cube utilization; use the tariff formula for billing weight.

Packaging choices that change chargeable weight

Right-sizing the carton often saves more money than negotiating a tiny rate discount. Empty space increases dimensional weight. Lightweight void fill can still lose if the box stays huge. Dense goods in a snug carton usually bill near actual weight.

When you redesign packaging, re-measure and re-convert. A 2 cm reduction on one side changes volume by a percent equal to that side’s relative change—worth calculating before you order 10,000 cartons.

For exports, customs may care about net and gross mass in kilograms even when your commercial invoice was drafted in pounds. Keep both actual mass and package cube documented so logistics and compliance teams share one truth.

Checklist before you buy a label

Measure outer L, W, H in one unit. Weigh on a trusted scale. Convert weight into the carrier’s billing unit. Compute dimensional weight with the correct divisor. Take the maximum. Add any oversize fees that ignore weight entirely.

Sanity-check with a dual display: show chargeable kilograms and pounds on the packing slip. Dual labels catch unit bugs when US and EU sites share one catalogue.
